Full-time Supervisor - Print Operations

at Broadridge Financial Solutions in New York-Long Island

Under the general direction of the Manager - Digital Document Solutions (DDS) Operations, the Shift Supervisor is responsible for the operation of a single-shift within of the DDS print room. This includes staff supervision, production, training staff, reporting critical operational information to management, ensuring that required service levels are met or exceeded, and meeting cost/unit targets.

Communicates staffing requests to temp agencies to ensure DDS requirements are met. Works with management to develop staff schedules to meet department and business commitments and prepares/delivers periodic performance reviews. Effectively deals with personnel related issues and ensures that assigned staff are effectively managed.

Prepares daily/periodic production and shift turnover reports to monitor productivity, backlogs, and service levels.

Cross-trains staff to ensure that multiple backups are available to support each function within the DDS operation. Documents operator procedures and ensures that all staff are appropriately trained to perform their required functions. Works with management to prepare and deliver periodic performance reviews. Effectively deals with personnel related issues and ensures that assigned staff are effectively managed.

Oversees DDS production to ensure that all work is processed in priority order in a timely and cost effective manner. Monitors work assigned to each operator/machine throughout the shift to ensure that resources are being utilized effectively. Works with DDS hardware/software vendors to ensure that equipment/software issues are resolved on a timely basis.
•Ensures that operators follow DDS procedures and produce quality work on a timely basis. Recommends cost containment initiatives to management to reduce expenses where possible and prudent.
•Works with management to develop staff schedules to meet department and business commitments.
•Monitors machine down-time and ensures that all problems are logged and reported to equipment vendors on a timely basis. Follows up to ensure all equipment problems are satisfactorily resolved.
•Follows up with Client Services to resolve issues with print requests that cannot be completed (e.g., due to file, printer, or job specification issues).
•Notifies management of any potential problems as they relate to staffing, workflow, equipment, and scheduling and recommends solutions.
•Prepares daily production reports to monitor productivity, backlogs, and service levels.
•Ensures that all client service level commitments are consistently met or exceeded.
•Cross-trains staff to ensure that multiple backups are available to support each function within the DDS operation. Documents operator procedures and ensures that all staff are appropriately trained to perform their required functions.
•Maintains detailed operating knowledge of all DDS hardware/equipment, software and applications.
•Monitors employee/temp attendance and ensures that Broadridge/DDS guidelines/policies are strictly adhered to. Provides feedback to staff and administers corrective action procedures as per Broadridge policies.
•Prepares operator productivity/quality reports, provides assigned staff with performance feedback on an ongoing basis. Works with management to prepare and deliver periodic performance reviews. Effectively deals with personnel related issues and ensures that assigned staff are effectively managed.
•Works with management to identify key staff/top performers and implements plans to help them reach their full potential through cross-training assignments.
•Reviews work produced by assigned staff to ensure it meets DDS quality standards. Monitors spoilage and develops procedures to reduce waste.
•Monitors paper inventory within the print room to ensure appropriate levels are maintained to support expected volumes.
•Demonstrates strong leadership skills and motivates team to continually improve DDS performance (in terms of quality, client service and cost effectiveness).
•Other duties as assigned.

Qualifications Required :

1.Bachelor's Degree in Management, Finance, Accounting or a related field preferred.
2.Three years of experience in a print production, transaction processing, or operations environment. One year of management experience is required.
3.Strong oral and written communication skills. Must be able to communicate effectively with staff and management at multiple levels.
4.Solid organizational skills. Must be able to effectively multi-task and manage multiple priorities simultaneously.
5.Strong PC skills including advanced knowledge of Excel (pivot tables, advanced formulas, file linking, charts/graphs, etc.), Word, and Visio.
6.Strong analytical skills. Must be detail-oriented and able to effectively consolidate and report critical information to management.
7.Good management/leadership skills. Must be able to effectively manage both professional and clerical staff.
8.Must be a self-starter and demonstrate strong initiative.
9.Strong interpersonal skills. Must be able to work effectively in a team environment.
10.Must be flexible to work various shifts, overtime and weekends as required.
Regular shift hours are 2:00PM-10:30PM
